Getting Started as Team Admin
Creating your team takes a minute. Setting it up properly takes about fifteen — and Mingle now walks you through it step by step. This guide follows that same order.
You and Mingle
You are a Team Admin. Probably a Coach, Team Manager or other Staff member. Mingle Sport is the all-in-one app that helps you manage your team: from attendance tracking to match planning to tracking stats and sharing content with the team.
Setting Up Your Team
App or Homebase? Team Setup — the guided flow that gets your team configured — lives in the mobile app. That's where you pick your colours, jersey, formation and preferences, and where you add your first players, match and training. Homebase (our desktop web app at homebase.mingle.sport) is for the desk work afterwards: bulk editing, filling a whole season's calendar, full attendance tables and the complete stats. Both work together seamlessly.
First, let's create the team
In case you haven't done this yet, create your team first. In the app you'll pick your league, search for your club, name the team, and tell us which roles you have in it. Not affiliated with a club or league? Skip that step and you'll get an independent team.
When you're done you land on the Your Team is Created! screen, with one button that matters: Setup my Team. Tap it and you're in Team Setup. (Prefer to poke around first? Skip drops you straight into the app — you can start setup whenever you like.)
Team Setup: the guided way
Team Setup is a step-by-step flow that configures your team for you, instead of leaving you to hunt through Team Settings. It has three parts:
Configuration — who your team is and how it looks
Preferences — how your team uses Mingle's features
Add stuff — players, your first match and training, and invites
A few things worth knowing before you start:
Everything saves as you go. Each step saves when you tap Continue, so quitting halfway costs you nothing.
You can finish later. Team Setup only ever shows what's still open. Come back and you land on the next unfinished step — if two things are left, it's two screens long.
It's admin-only. Players and parents never see the setup flow, the progress bar or the setup reminders.
You don't have to use it. Every setting in Team Setup also lives in the app and on Homebase. Change something there and Team Setup ticks it off automatically.
Already have a team? Team Setup works for existing teams too. It skips whatever you've already configured and shows you the rest, pre-filled with your current values — so it's a quick way to find the settings you never got round to.
Part 1: Configuration
Team characteristics. Gender, age group and performance level. Age groups are grouped into Mini / Youth / Adult / Veteran so you're not scrolling through twenty options.
Team appearance. Pick your primary and secondary team colours, add your logo and a header image — all around a live preview of your team card, so you can see what you're doing. Entirely optional; Continue works without changing a thing.
Line-up. Your default formation — which sets your team size — plus jersey and field type, configured on a live pitch. Your field type can be Grass, Clay, Indoor or Street — handy if you're a futsal or street team. Every team gets a free solid jersey in its own colours; picking a pattern is a Team Boost feature (more on that below). You can also choose whether player numbers show on the jersey, and what colour they are.
Match duration. Default number of periods and minutes per period, shown as a scoreboard. We pre-fill it from your age group — Mini 2×20, U11–U12 2×30, U13–U14 2×35, U15–U16 2×40, U17 and up 2×45, Veterans 2×40 — and you can always override it. This sets the default for new matches; it doesn't change matches you've already created.
Part 2: Preferences
This part is a series of short questions, each one explaining a feature while you configure it.
Track attendance? If yes, you'll say who manages it: players RSVP themselves, the coach manages it, or parents RSVP for their child. If no, we skip straight past the attendance and reminder settings.
Reminders. When match, training and parent reminders go out — demonstrated with a mock notification so you can see what your team will actually receive.
Scorekeeping. How you track goals, and whether you want to track substitutions and minutes played.
Match Awards and Leaderboards. Your award categories, who can vote and how long voting stays open, plus which leaderboards exist and who can see them. These ship with sensible defaults, so this is a review step — glance at it and continue.
Mingle Mode. How your team will use Mingle: Staff Only (just you and your staff — players and parents stay off the app), Full Team (players and parents RSVP, chat and share content) or Team + Followers (your full team plus fans, sharing match content with family and friends). Nothing gets hidden or locked by your answer — it helps us set sensible defaults and understand how teams like yours work.
Your Boost level. The last step of Part 2, and the only one you can't skip. You'll see Basic (free), Elevate, Performance (coming in season 26/27) and Club Deal, opening with a recap of any premium features you picked along the way. All core team management is free — scheduling, attendance, scorekeeping, chat, stats and the match feed. Boost adds things like multiple admins, jersey customisation, minutes played and advanced configuration. → See pricing
About those premium picks: when you toggle a Boost feature during setup, nothing is switched on and nothing is charged. We remember your choice and show it as "with Elevate". Boost your team — at the end of setup, or months later — and we apply all of them for you automatically. Choose the free tier and your picks simply sit there waiting, with nothing changed.
Part 3: Add stuff
Add players. Type a name, hit add, repeat. Fast, keyboard-first, with an optional position picker per player. These are team-scoped player profiles — no accounts needed. Your players can claim them later when they join.
Your first match and your first training open the normal New Match and New Training sheets, already pre-filled from your earlier answers: duration, reminders, RSVP and awards are all set. Add another straight away if you want.
Invite your team. Share your join code or invite link — the natural last step, now that there's something worth joining.
Finish. Confetti. You've earned it.
Picking up where you left off
If you skip out of Team Setup or don't finish in one go, you'll find your way back in three places:
A slim Team Setup bar on your Team Overview, with a progress bar and a Continue button that takes you to the next open step. Done with the nudging? Its overflow menu has Don't show again, which switches off setup prompts for good.
Team Settings, as a secondary entry point.
A reminder notification a few days in while you still have open steps, and one more about a week later. Then we stop.
Sync with your Calendar
All your matches, training sessions and team events can be synced to Google Calendar, Apple Calendar or any calendar app that supports iCal. Your team members can do this too — so everyone stays up to date without checking the app.
Changing things later
Nothing you set in Team Setup is locked in. Team Settings in the app has an Appearance group (team colours, jersey, field type, player numbers) and a Match Day group (periods and duration, awards and rating) — the same sheets you saw in the wizard, available any time. Homebase gives you the wider set of configuration options on a bigger screen.
Make It Look Like Your Team
The colours, jersey and field type you pick aren't just decoration inside the setup flow — they show up across the app.
Team colours render on your Team Overview and on player profile headers.
Your team jersey replaces the old Mingle-green placeholder wherever a player has no photo — in line-ups, your roster, chat, attendance and the match feed.
Your field type renders under the line-up on match detail, the match feed and in Match Control. Grass, clay, indoor or street: match day looks like your match day.
Skipped the appearance steps? Nothing breaks — you'll just get the standard Mingle look until you set them, in Team Setup or in Team Settings.
Onboarding New Team Members
Before you invite team members…
If you ran through Team Setup, most of this is already handled. Still worth a last look before the whole team arrives:
Team Privacy: review who can see player information, contact details, and media. Especially important for youth teams with minors. → Team Visibility Settings
Calendar filled: the first thing team members will see is their schedule and activities. Coming from another app or spreadsheet? You can add past matches manually so your stats history is up to date from day one — Homebase is the fastest place to do this.
Team image: Team Setup covers your logo and colours; check that your header image looks right on the Team Overview.
Awards and leaderboards: if you clicked through those review steps quickly, this is the moment to look properly. In the app, open the Stats tab and tap the three-dots menu (team admins only) — or use Homebase under Team Settings. → Leaderboards & Awards
Invite Players / Parents
Alright, everything is set up. You can now invite other team members using the invite link or join code you can find in the team section — the same one Team Setup offered you at the end. When joining the team, players can claim their own profile or create a new one. Parents can claim their child's profile. Claiming a profile is not required for tracking stats or creating line-ups.
Set Permissions
You're the admin. You can do everything. By default, all other team members can add media to matches. Premium teams can add unlimited admins and give any team member scheduling or scorekeeping permissions.
Pro Tip: If you're coaching during the match, you probably can't scorekeep at the same time. Give a parent or assistant coach scorekeeping permissions so they can handle Match Control while you focus on the game. Practice together before match day!
Customise Chat
There is an official 'All Team Members' chat group. Like WhatsApp, you can add polls, share docs, pictures and GIFs. If you want, you can create specific chat groups for players, staff and parents.
Match Day Magic
Match Days are the most important days of the week. It's an exciting day, full of logistics and decisions. By the end of the day, you want it to be a great experience for everyone involved — players, staff, friends and family.
Match Day is where Mingle Sport shines. All our Match Day features are available in Match Control, which is available for team members with scorekeeping rights only.
Know Who's Coming…
You can either let players or their parents RSVP, or edit the match squad yourself. Need to borrow a player from another age group or team? Guest players can be added to any match without being a permanent squad member. Team members can provide their transportation needs or add reasons of absence. You can even flag players in case they show up too late.
Create Your Line-Up(s)
You can set any formation. Any team size. Your default formation and team size from Team Setup are already applied, so most match days you just drop players in. Add attending players to on-field positions or put them on the bench. Don't want players to see the line-up before the match? You can hide or publish it at any time. You can create multiple line-up versions so that the line-up evolves during the match and reflects substitution and position changes.
Scorekeeping
You can add goals, assists and cards. Live, during the match. Or after. When adding a match event you can add the match minute so that all the events are sorted chronologically on the match feed.
Substitutions & Minutes Played
Managing substitutions in Match Control during (or after) the match allows you to keep track of changes made and positions each player played. Each substitution moment triggers a new line-up version: a snapshot of the line-up with a start and end minute. Minutes Played are tracked automatically — live during the match, and available in Homebase in a table view. Team Admins can decide if this information is shared with players.

Share the Match Feed
You can share the Match Feed with friends and family — even if they're not a team member or using the Mingle Sport app. Just hit the share button on the feed tab and share it anywhere you want.
Live Mode
Turn on Live Mode during a match and everyone following the match feed gets notified of key moments in real time: goals, cards, substitutions. Friends and family feel like they're there — even when they can't be. It's one of the features our teams love most.
Match Article
After a match, Mingle can generate an AI-powered match article: a journalistic-style match report based on everything that happened. Share it on the match feed, in chat, or on social media. It's the perfect way to wrap up match day.
Match Awards & Rating
After each match, team members can vote for different Players of the Match. Additionally they can rate team performance. Team Admins can configure Awards and Leaderboards to fit the team culture — you'll have set these up in Team Setup, and you can change them any time. Once the voting window is closed, winners will be revealed.
Unlock the Full Potential
Stats & Leaderboards
Stats now live on your own Stats tab in the bottom navigation — Team Awards, leaderboards and match stats. There is a leaderboard for everything you track. From Goals and Assists to MVP Awards and Minutes Played. Team Admins can decide what is visible to whom. They can also see trends and check the full table with all data in Homebase, our desktop web app.
Media Collections
Tag players in videos and photos. You can also add custom tags so you can easily find content in your Team or Player Media Collection. Mingle Sport is ideal for short clips that you can create with the Mingle Sport app or just upload from your VEO or other sports camera.
Player Development
Some coaches want to up their game when it comes to player development. In Homebase you can add Player Goals to each player profile. Just add a title, category and description. You can even add 'Coach Notes' that are only visible for admins. Keeps everything in one place.

The Mingle app is for the team. But Coaches and Team Managers want more: full attendance tables, an easy overview of the monthly schedule… That's what Homebase is for. It's our desktop web app with all the functionality of the mobile app — plus more stats and configuration options on a bigger screen.
New Season?
When a new season starts, you don't need to start from scratch. Update your squad, adjust the calendar, and you're good to go. All your stats and history from previous seasons stay intact. Worth revisiting your appearance and match-day settings too — new season, new look if you fancy one.
