Getting Started as Team Admin

⏱️ You can have your team fully set up and ready to go in about 15 minutes. This guide walks you through everything step by step.

You and Mingle

You are a Team Admin. Probably a Coach, Team Manager or other Staff member. Mingle Sport is the all-in-one app that helps you manage your team: from attendance tracking to match planning to tracking stats and sharing content with the team.


Setting Up Your Team

πŸ’‘ App or Homebase? Use Homebase (our desktop web app at homebase.mingle.sport) for the heavy lifting: setting up your team, adding players, filling the calendar. The mobile app is where match day happens β€” scorekeeping, line-ups, substitutions, live updates. Both work together seamlessly.

First, let's create the team

In case you haven't done this yet, create your team first β€” either in the app or on Homebase, our desktop web app.

Add Player Profiles

We advise you to add the player profiles first, before you invite team members. Just go to the Team Section and add the player names. Pro Tip: you can add preferred positions, profile pictures and even player numbers!

Create a Match

You can either create a 'dummy match' to play around with, or schedule your first real match. Don't worry, you can always delete or cancel a match.

Schedule Training Sessions and Team Events

Add your upcoming training sessions and team events. This is a great moment to check your RSVP preferences. Do you want players to RSVP? Or manage it yourself? You can also configure when reminders are sent.

Sync with your Calendar

All your matches, training sessions and team events can be synced to Google Calendar, Apple Calendar or any calendar app that supports iCal. Your team members can do this too β€” so everyone stays up to date without checking the app.

Configure Notifications

Mingle sends smart notifications to your team: RSVP reminders, match day alerts, and more. As an admin, you control what gets sent and when. Check your notification settings to make sure things are dialled in before you invite the team.


Onboarding New Team Members

Before you invite team members…

You might want to check a few things before you invite the rest of the team. Here is a quick checklist:

  1. Team Image + Icon: add a nice team header image and check if your team logo needs an update.

  2. Configure Leaderboards & Awards: do you want voting for players of the match? Do you want all leaderboards to be visible? Check your Team Settings in Homebase. β†’ Leaderboards & Awards

  3. Calendar filled: the first thing team members will see is their schedule and activities. Coming from another app or spreadsheet? You can add past matches manually so your stats history is up to date from day one.

  4. Team Privacy: review who can see player information, contact details, and media. Especially important for youth teams with minors. β†’ Team Visibility Settings

  5. Free vs. Team Boost: all core team management features are free β€” scheduling, attendance, scorekeeping, chat, stats, and the match feed. Invite Players / Parents

Alright, everything is set up. You can now invite other team members using the invite link or join code you can find in the team section. When joining the team, players can claim their own profile or create a new one. Parents can claim their child's profile. Claiming a profile is not required for tracking stats or creating line-ups.

Set Permissions

You're the admin. You can do everything. By default, all other team members can add media to matches. Premium teams can add unlimited admins and give any team member scheduling or scorekeeping permissions.

πŸ’‘ Pro Tip:
If you're coaching during the match, you probably can't scorekeep at the same time. Give a parent or assistant coach scorekeeping permissions so they can handle Match Control while you focus on the game. Practice together before match day!

Customise Chat

There is an official 'All Team Members' chat group. Like WhatsApp, you can add polls, share docs, pictures and GIFs. If you want, you can create specific chat groups for players, staff and parents.


Match Day Magic

Match Days are the most important days of the week. It's an exciting day, full of logistics and decisions. By the end of the day, you want it to be a great experience for everyone involved β€” players, staff, friends and family.

Match Day is where Mingle Sport shines. All our Match Day features are available in Match Control, which is available for team members with scorekeeping rights only.

Know Who's Coming…

You can either let players or their parents RSVP, or edit the match squad yourself. Need to borrow a player from another age group or team? Guest players can be added to any match without being a permanent squad member. Team members can provide their transportation needs or add reasons of absence. You can even flag players in case they show up too late.

Create Your Line-Up(s)

You can set any formation. Any team size. Add attending players to on-field positions or put them on the bench. Don't want players to see the line-up before the match? You can hide or publish it at any time. You can create multiple line-up versions so that the line-up evolves during the match and reflects substitution and position changes.

Scorekeeping

You can add goals, assists and cards. Live, during the match. Or after. When adding a match event you can add the match minute so that all the events are sorted chronologically on the match feed.

Substitutions & Minutes Played

Managing substitutions in Match Control during (or after) the match allows you to keep track of changes made and positions each player played. Each substitution moment triggers a new line-up version: a snapshot of the line-up with a start and end minute. Minutes Played are tracked automatically β€” live during the match, and available in Homebase in a table view. Team Admins can decide if this information is shared with players.

Share the Match Feed

You can share the Match Feed with friends and family β€” even if they're not a team member or using the Mingle Sport app. Just hit the share button on the feed tab and share it anywhere you want.

Live Mode πŸ”΄

Turn on Live Mode during a match and everyone following the match feed gets notified of key moments in real time: goals, cards, substitutions. Friends and family feel like they're there β€” even when they can't be. It's one of the features our teams love most.

Match Article ✨

After a match, Mingle can generate an AI-powered match article: a journalistic-style match report based on everything that happened. Share it on the match feed, in chat, or on social media. It's the perfect way to wrap up match day.

After each match, team members can vote for different Players of the Match. Additionally they can rate team performance. Team Admins can configure Awards and Leaderboards to fit the team culture. Once the voting window is closed, winners will be revealed.

Unlock the Full Potential

Stats & Leaderboards

There is a leaderboard for everything you track. From Goals and Assists to MVP Awards and Minutes Played. Team Admins can decide what is visible to whom. They can also see trends and check the full table with all data in Homebase, our desktop web app.

Media Collections

Tag players in videos and photos. You can also add custom tags so you can easily find content in your Team or Player Media Collection. Mingle Sport is ideal for short clips that you can create with the Mingle Sport app or just upload from your VEO or other sports camera.

Player Development

Some coaches want to up their game when it comes to player development. In Homebase you can add Player Goals to each player profile. Just add a title, category and description. You can even add 'Coach Notes' that are only visible for admins. Keeps everything in one place.
