Getting Started as Club Admin
For: Club Owners & Club Admins (the people who run a whole club, not just one team)
Club Manager is your home base for the whole club. This guide walks you through getting in and finding your way around — from becoming a club owner to chat, announcements, teams and the cross-team schedule.
You and Club Manager
You run a club — several teams, a lot of people, and plenty to keep track of. Club Manager is the web platform built for exactly that, at club.mingle.sport. It sits alongside the Mingle Sport app and Homebase, and it's where your club-wide settings and communication come together in one place.
Club Manager is for clubs with more than one team. Each team is still run day to day in the app and on Homebase — Club Manager is the layer above that, where you see and steer the whole club.
Club owner or club admin?
There are two admin roles, and today they can do everything in Club Manager — the same rights across chat, announcements, contacts, settings and teams. The one difference: only the club owner can add or remove club admins. Think of the owner as the single person accountable for the club, with admins as the wider group who help run it. Every club has exactly one owner.
Getting access
Access starts with a quick check from us, so we know the first person setting up a club really is its owner. Here's how a new club owner gets set up:
Contact Mingle to tell us you want to set up your club — through the in-app chat or at [email protected].
We verify that you're the club's owner.
Create a Mingle Sport account if you don't have one yet, and skip the step that asks you to join a team. As a club owner, you don't need to be on a team.
Message us once your account is ready, and we'll set you as the club owner.
Add your club admins from Club Manager, so the people who help run the club can get in too.
Note: If you've been told you'll be a club admin rather than the owner, you don't need to contact us — your club owner adds you directly.
Opening Club Manager
Once you have club owner or club admin rights, Club Manager opens in your web browser — there's no separate app to install.
Go to club.mingle.sport.
Sign in with your Mingle Sport account.
Club Manager opens.
Already using Homebase for your own team? If your account has club access, you'll also see a Club Manager button in the Homebase navigation bar — click it to jump straight there.
If you sign in and don't see it, your account doesn't have club-level access yet — follow the access steps above, or ask your club owner to add you. Once you're in, everything below is organised into sections in the left sidebar.
First, get your teams in order
Before anything else, make sure every team in your club is actually in Club Manager — and tidy up any that shouldn't be there. That all happens on the Team Management page: your cross-team list of every team, with search, filters, and an Active / Archived toggle.
Teams are either Managed or Independent. Managed teams are the ones that count as part of your club — they show up across Club Manager and feed club-level stats, announcements, and the schedule. Boosted teams (Elevate or Performance) are Managed automatically. A basic team someone created under your club name shows up as Independent, so click its relation chip to switch it to Managed and pull it into your club view. (Boosted and coach-boosted teams are locked — you can't change those.)
To fill in anything that's missing, use + Create team. Enter a name — your club's country, league, colours and logo are applied automatically — and the team defaults to Managed. Turn on Create more to add several in a row.
Clubs often collect a few stray or duplicate teams that members created over the years. Clean those up here: archive the teams you're not using so they move to the Archived tab and out of your way, and delete managed teams that shouldn't exist at all. Clicking a team's name opens its read-only page — Overview, Players, and Staff & Support — if you just want a look first.
Pro Tip: Need to edit a team hands-on? Use Join as admin — from the team's row or its page — to add yourself with admin rights. An edit pencil appears that opens the team straight in Homebase. Use Leave as admin when you're done.
Reaching your whole club
One of the first things Club Manager gives you is a way to reach everyone in your club — without WhatsApp or handing round personal phone numbers. It all lives under Communication.
Set up your club chat
Under Communication → Chat there are two kinds of club chat. The Official Club Group is a single announcement channel that every club gets automatically, with all members in it — only you and other admins can post, and its membership syncs on its own as people join or leave teams. Custom club groups are smaller groups you create for parts of the club, like *Youth Staff* or *U9–U12 Parents*, where you choose who can post, reply and react.

Send announcements
When you need to tell the whole club something, the Announcements dashboard lets you write one message and send it to several chats at once — across teams, parents and staff — without joining each one. You can pin it for up to 14 days, schedule it for later, and afterwards see delivery status per group and track reactions.
Pro Tip: Prepare your weekend updates in advance and schedule them — they'll go out automatically at the time you choose.

Message across teams with Club Contacts
Normally chat is limited to your own team. Club Contacts lets admins find and message anyone across the whole club, straight from the Create new Chat flow — browse or search by name, filter by role, then start a direct message or a group. What each person sees depends on their role, which keeps players' and parents' details private from other teams' admins.

Control your chat settings
Chat Settings is where you set your club-wide chat options in one place. From here you turn the Official Club Group on or off, and turn Club Contacts on or off for the whole club. Club Contacts is off by default, and only the club owner can switch it on — so you decide how open club communication is.
Seeing what every team is doing
The Schedule gives you one cross-team view of everything your club has on — the overview admins used to rebuild by hand in spreadsheets. It's read-only: it pulls together the matches, training and events that already live in each team's own schedule, so you get the full picture without editing anything here.
Your managed teams appear as rows, grouped by age group, with events colour-coded by type. Switch between a week view (the default) and a day view, and use the teams filter to focus on just the teams you care about. Your view settings are remembered between visits, so it opens the way you left it.

Club Manager keeps growing. Cross-team stats, club-wide leaderboards and a club home page are all on the way, so more of running your club comes together in one place over time.
