Season rollover checklist for football clubs (NSW and VIC)

Australia

Registrations are the part everyone sees. The rest of rollover is quieter: a new committee, new age groups, new managers, and a few hundred parents who need to know where to be in round 1.

This checklist covers the club side, from October to April. Your association's dates come first, so check them against its circulars and fill them in.

October to November: after the AGM

  • Hand over committee roles: inboxes, passwords, bank signatories, the Play Football and Dribl logins

  • Update the club's contact list and website with the new committee

  • Confirm the age groups for next season (players move up a birth year)

  • Set fees and registration products for next season. Association date: ______

  • Book grounds and training slots with council

  • Open coach and manager expressions of interest

  • VIC: Annual Club Membership declaration to Football Victoria, due 31 December

December to February: registrations

  • Registrations open in Play Football. Association date: ______

  • Send one registration link with the club's entity ID, not the general finder, so fewer players register with the wrong club

  • Keep a refunds log: who, how much, which platform, status

  • WWCC register: every coach and manager has a current check, verified by the club (NSW: Office of the Children's Guardian; VIC: Working with Children Check Victoria)

  • Name the club's MPIO and publish their details on the website

February to March: forming teams

  • Grading and trials. Club dates: ______

  • Form teams and appoint one coach and one manager per team

  • Team nominations into Dribl. Association date: ______

  • Set up every team with its manager and parent group in one place, so the manager can run the team from day one. This is where Mingle Sport fits: the club sets the teams up once and managers take over in the app.

  • Update the manager manual: which app the club uses for availability, chat and match reports, and who to call when something breaks

  • Pre-season managers' meeting. Date: ______

March to April: before round 1

  • Map players into Dribl team lists. Association date: ______

  • Check draft fixtures and send feedback. Association date: ______

  • First-round comms to every parent: team, coach, manager, first training, first match, and the club's game time policy

  • Check every manager has opened their team and invited their parents
